Office Manager (entry-level)

Part time (10-20 hours per week)

Description

Cold Ants Properties is a condominium association management firm specializing in small condo buildings. We are currently seeking an Office Manager.

To start, the job will be making sure we're on top of everything. This means updating clients on progress and following up with vendors on quotes and scheduling. Ideally, you will help build repeatable processes to save everyone time. No deep knowledge of the industry required, just attention to detail and the willingness and ability to keep on top of outstanding issues.

Most of the job can be done remotely, but occasionally you'll be needed on the customer site, mostly to provide access to a vendor to perform a sprinkler inspection, or pest control service, or similar. The total number of hours needed (on-site and remote) is between 10 to 20 hours per week to start.

Important - while some of the remote work can be done at any time and some is evenings and weekends, most of the work has to happen during regular business hours when our vendors are working.

Cold Ants is growing and we are seeking an individual to grow with us, working towards future full-time positions. The Office Manager will assist with financial and physical management of condo associations, all located in the District of Columbia (with a concentration in Petworth, Columbia Heights, Shaw, 14th St., Adams Morgan, and Dupont)

Starting salary $20-25 per hour, with opportunity for bonuses based on new client referrals.

Primary Duties
  • Handle communications with owners and board members regarding condo association business and maintenance needs.
  • Follow up with clients and vendors to make sure projects are moving forward. We have a ticketing system that makes this easy to manage.
  • Be familiar with Association governing documents and other policies and procedures.
  • Work with us to streamline processes and develop repeatable workflows.
  • Perform other administrative and property management duties as requested.
Requirements
  • Reliable transportation - most of our buildings are in Columbia Heights, Petworth, Shaw, 14th St, Adams Morgan, and Dupont, but a few are all over the city. Parking can be a challenge, so alternative modes of transportation (cycling!) are especially useful.
  • Respect for our owners - we are frequently guests in owners’ homes, and these owners should never be able to tell we were there unless something has been fixed.
  • COVID precautions - the position does involve limited indoor work with other people. While it is difficult to follow the ever-changing requirements, Cold Ants will always defer to the client on masking.

Not required but great to have
  • Accounting and finance experience to help with Association budgeting.
  • Programming experience, especially Python - coldants.com runs on Python and we've automated a lot of repetitive tasks with coding (and hope to automate more!).
  • Spanish - many of the contractors we work with are native Spanish speakers and being able to communicate in Spanish is a big advantage.
  • Marketing skills - we could grow even more with the right emphasis on marketing.
  • Cycling enthusiasm! The best way to get around the city is by bike! Cold Ants will pay for a Capital Bikeshare membership and reasonable usage fees.
